Additional Match MoneyThe first question that most have is what do I put in as the cost of the equipment (vehicle) in the Request Details section?A strategy is to only ask for the dollars that you need, in other words XYZ Fire Department has a vehicle project that is $300,000.00 If you request that amount from the AFGP it does a couple of negative things; 1.) it makes your application expensive and 2.) you do not need the total $300,000.00 because you already one third of the funds set aside. So your request from the Federal AGFP should be for the following: $215,000.00 You have a pot of money totaling $100,000.00 for extra match. You need to make sure that you do not come up short in that fund when it's all done. The application screens are not set up to deal with additional match funds. I have requested every year for them to fix that but it still is not done so we have to do all this calculations. So here is what we do; Total Vehicle Project Cost is: $300,000.00 Total XYZ City Funds including the match is: $100,000.00 Scenario: Request Amount should be: $215,000.00 Required 5% Match is: $10,750.00 Federal Share is: $204,250.00 paid to City XYZ Additional indicated match is really $90,000.00 as you will need $10,000.00 for the required match. --------------------------------- Total Project Cost is: $300,000.00 Total Funds from AFGP is: $204,250.00 ------------------- Balnce left for City to pay is: $97,750.00 Total 5% City Match is: $10,750.00 Total Remaining City Funds: $85,000.00 ---------------------------------- Plus Balance of: $ 4,2500.00 Next Question is where do I tell the panel review folks about my extra match?Question: We have additional match money above the required match. Where and how do we tell the AFGP panel review folks about this in the application? ANSWER: There are four (4) places in the application I will use the example from question one above, about truck project. The 1st location in the application where you should let AFGP know that you have additional match money is in menu item #7 Request Information section at the very bottom of the screen question number two (2). 2. Will this grant benefit more than one organization? If you answered Yes to Question 2 above, please explain. There is a box where you can place up to 4,000 characters to answer question number 2 of this section. First off I would hope that everyone will be able to indicate a YES to question number two. I would also include in this box at the very top the same short line about your extra match money. We have more then the required $10,750 5% match. We have a total of $85,000.00 dollars saved over the last ten years but we can not wait any longer to get this pumper. It is extremely important that you talk about the NUMBERS your firefighters and community first and then talk about the ## mutual aid departments and ### of firefighters second. The 2nd location in the application where you should let AFGP know that you have additional match money is in menu item #8 Request Details section question number one (1), Please provide further description of the item selected above or if you selected other above, please specify. I would also include in this box at the very top the same short line about your extra match money. We have a 30% match of $85,000.00 for this $300,000.00 dollar project. NFPA 1901 compliant 1250 GPM pump with 750 on board water along with rescue equipment which we already have and will be on automatic response to all 14 departments in the mutual aid group. The 3rd location in the application where you should let AFGP know that you have additional match money is in menu item #9 Budget section last box Non-Federal Resources, Other Sources . The box reads; If you entered a value in Other Sources, include your explanation below. You can use this space to provide information on the project, cost share match, or if you have a indirect cost agreement with a federal agency. REMEMBER: You DO NOT put any dollar amounts in the "Other Resources Box" BUT you should place the text in the box provided below it for explanation. We have more then the required $10,750 5% match. We have $85,000.00 dollars saved over the last ten years but we can not wait any longer to get this pumper. The 4th and last location in the application where you should let AFGP know that you have additional match money is in menu item #10 Narrative section. Narrative The XXX Fire Department is located in the City of Project description: ==================== We have more then the required $10,750 5% match. We have a total of $85,000.00 dollars saved over the last ten years but we can not wait any longer to get this pumper. The total cost of this project is $300,000.00 but we are are asking for $204,250.00 from the AFGP. You would then continue on with your responses to what you are requesting funding for, including budget descriptions of the major budget items, i.e., personnel, equipment, contracts, etc.? Statement of effect: ==================== You should mention the extra match here also. You have the additional match this year but it may not be available next year !!
